1. Data controller

2. What data we process
- Identity and contact data: name, billing and delivery address, e-mail address, telephone number (if provided).
- Order and payment data: products ordered, amounts, order history. Payments are processed via Mollie; we do not store full card details ourselves.
- Business data (for business customers): company name and VAT number, which we validate against the European Commission’s VIES database.
- Account data: username and encrypted password, language preference.
- Technical data: IP address and cookie data (see our cookie policy).
3. Purposes and legal basis
- Carrying out your order, delivery and invoicing (performance of the contract).
- Customer management, customer service and answering questions (performance of the contract / legitimate interest).
- Complying with legal obligations, including accounting and tax retention duties (legal obligation).
- Securing the webshop and preventing fraud (legitimate interest).
4. Sharing with third parties (processors)
We never sell your data. We use carefully selected service providers that process data solely on our behalf:
- Hosting partner (mijnhostingpartner) — hosting of the webshop.
- Mollie — processing of the online payment.
- Brevo — sending transactional e-mails (confirmation, account).
- Suppliers (dropshipping) — because part of the orders is shipped directly by our supplier, we share the necessary delivery data (name and address) with the supplier concerned, solely to deliver your order.
- Accounting software (Odoo) — preparation of the invoice.
- Carriers (including GLS, DPD) — delivery of your parcel and sending of the tracking information.
These parties are located within the EU/EEA or provide appropriate safeguards.
5. Retention period
We do not keep your data longer than necessary. Order and invoicing data are retained in accordance with the legal retention obligation (as a rule 7 years for accounting documents). Account data are kept for as long as your account is active.
6. Your rights
You have the right to access, rectify, erase, restrict and port your data, and the right to object to certain processing. You can exercise your rights via info@inktop.be. You also have the right to lodge a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be), Rue de la Presse 35, 1000 Brussels.
7. Security
We take appropriate technical and organisational measures to protect your data, including a secure (HTTPS) connection.
